How we use your details
This notice covers the information you give us on simondsevents.co.uk for the Santa Bus Tour 2026, run by Simonds Coaches & Holidays, part of Transport Made Simple. There are two forms on the site and we treat them separately.
Nominating a child for Santa’s Good List
What we collect: the child’s full name, your reason for nominating them, your name and your email address. We also record the date and time of the nomination and basic technical information (such as your IP address) to protect the form from misuse.
Why: to read the nominations, choose the children we are able to invite aboard the Santa Bus, and contact the nominator to arrange it. Our lawful basis is your consent, which you give by ticking the box on the form. You can withdraw it at any time by emailing us and we will delete the nomination.
Children’s information and safeguarding: please only nominate a child if you are their parent or guardian, or you have the parent or guardian’s permission. We only ever contact the adult who made the nomination, never the child. Nominations are confidential: we never publish them, never share children’s names publicly, and only the small Simonds and Transport Made Simple team organising the event can see them. Any child invited aboard must be accompanied by an adult. We cannot promise that every nominated child will be selected.
How long we keep it: nominations are deleted within one month of the event.
Santa Bus email updates
What we collect: your email address, the date and time you signed up and your IP address.
Why: to email you the route, stopping locations, timings and any important announcements about the Santa Bus Tour. Our lawful basis is your consent. Every email we send includes an unsubscribe link, which stops further emails immediately; you can also reply to any email and ask to be removed.
How long we keep it: we delete the list within one month of the event, unless you have asked to hear about future Simonds events.
Who sees your information
The Simonds and Transport Made Simple events team, and the systems we use to run the site acting on our instructions: our database host (Railway), our web host (Vercel) and our email provider (Resend). Your details are stored securely, sent over encrypted connections, and are never sold or used for unrelated marketing.
Your rights
You can ask to see, correct or delete your details at any time, withdraw a nomination, or unsubscribe from updates. Email gemma.page@simonds.co.uk and we will respond promptly. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
Earlier events
If you registered for the Simonds Holiday Showcase in October 2026, those registration details are kept for up to three months after that event and then deleted.
